ai.jobs.co.uk is a candidate-focused job search platform that helps users search for jobs, upload and store CV information, build and manage a profile, receive AI-assisted job matching insights, and click through to third-party job listings and application sites.

For the purposes of UK data protection law, Jobs4UK Ltd is the data controller of the personal data described in this Privacy Policy.

3. The personal data we collect

We may collect and process the following categories of personal data.

Account data

This may include your name, email address, password or authentication details, and account preferences.

CV and profile data

This may include information contained in your CV or entered into your profile, such as employment history, education, skills, qualifications, job titles, career summary, location, salary preferences, work preferences, contact number and other details you choose to provide.

Job search and platform usage data

This may include your searches, filters, saved searches, viewed listings, search history, profile edits, and interaction with AI-assisted search results or recommendations.

This may include your IP address, browser type, device information, operating system, approximate location, referral source, timestamps, and system logs.

Communications data

This may include messages, support requests, feedback and other correspondence you send to us.

Cookie and tracking data

This may include information collected through cookies and similar technologies, subject to your settings and consent choices where required.

4. How we collect personal data

We collect personal data:

  • directly from you, when you register, upload a CV, fill in profile details, search for jobs, or contact us;
  • automatically, when you use the website, through logs, cookies and similar technologies; and
  • in limited cases from third-party service providers or integrations used to operate the platform.

5. How we use your personal data

We use personal data to:

  • provide and operate ai.jobs.co.uk;
  • create and manage your account;
  • store and manage your CV and candidate profile;
  • let you search for jobs and receive relevant results;
  • generate AI-assisted summaries, recommendations, match information or explanations;
  • remember your settings, saved profile details and search history;
  • improve platform performance, usability and relevance;
  • respond to support requests and enquiries;
  • protect the security and integrity of the website;
  • comply with legal obligations; and
  • send service-related communications and, where permitted, marketing communications.

6. Our lawful bases for processing

We rely on one or more of the following lawful bases, depending on the context:

Contract

Where processing is necessary to provide the services you request, such as creating an account, storing your profile, processing CV uploads, and returning search results.

Legitimate interests

Where processing is necessary for our legitimate interests in running, improving, securing and supporting the platform, provided those interests are not overridden by your rights and freedoms.

Consent

Where consent is required, including for certain cookies and similar technologies, and for optional marketing where applicable.

Legal obligation

Where we must process personal data to comply with a legal or regulatory obligation.

7. AI-assisted features

ai.jobs.co.uk may use automated tools, including AI-assisted processing, to help analyse CV content, structure profile data, rank or score job matches, generate summaries, or explain why a role may be relevant to you.

These tools are intended to support your job search experience. They do not make hiring decisions on behalf of employers, recruiters or third-party job sites. Job scores, summaries and explanations are informational only and should not be treated as guarantees of suitability, interview selection or employment outcomes.

Where applicable, we aim to use these tools in a way that is consistent with data protection law. UK data protection rules place restrictions on solely automated decisions that have legal or similarly significant effects on individuals.

8. Who we share personal data with

We may share personal data with trusted service providers where reasonably necessary to operate the platform, such as providers of:

  • cloud hosting and infrastructure;
  • storage and backup;
  • analytics and monitoring;
  • email and communications;
  • authentication and security;
  • workflow automation; and
  • AI or data-processing support services.

We may also share personal data:

  • where required by law;
  • to establish, exercise or defend legal claims; or
  • as part of a business sale, merger, reorganisation or acquisition.

We do not sell your personal data.

Because ai.jobs.co.uk works primarily by helping users discover roles and then click through to third-party websites, your application to a third-party role will normally take place on that third party’s website, under that third party’s own terms and privacy policy.

9. International transfers

Some of our service providers may process personal data outside the UK. Where this happens, we take steps designed to ensure appropriate safeguards are in place as required by applicable data protection law.

10. How long we keep personal data

We keep personal data only for as long as reasonably necessary for the purposes described in this Privacy Policy, including to provide the service, maintain user accounts, comply with legal obligations, resolve disputes, and enforce our terms.

As a general guide:

  • account information, CVs and saved profile data are kept while your account remains active and will usually be deleted or anonymised after 24 months of inactivity, unless you ask us to delete them earlier or we need to retain certain information for legal reasons;
  • search history, saved searches and preferences are generally kept for up to 12 months from your last activity;
  • support and contact records are generally kept for up to 24 months after the relevant matter is closed;
  • technical and security logs are retained for a limited period, usually 6 to 12 months, unless a longer period is necessary for security, fraud prevention, or investigation; and
  • where required by law, including for accounting or tax purposes, certain business records may be retained for up to 6 years or longer where legally required.

We may also retain anonymised or aggregated data that no longer identifies you.

UK data protection guidance requires organisations to tell people about retention periods or the criteria used to set them, and says personal data should not be kept on a “just in case” basis.

11. Your rights

Subject to applicable law, you may have the right to:

  • request access to the personal data we hold about you;
  • ask us to correct inaccurate or incomplete data;
  • ask us to delete your personal data;
  • ask us to restrict certain processing;
  • object to certain processing;
  • request transfer of your data in a portable format where applicable;
  • withdraw consent where processing relies on consent; and
  • complain to the UK Information Commissioner’s Office.

You can exercise your rights by contacting paul@jobs.co.uk. We may need to verify your identity before responding.

The ICO says privacy information should explain individuals’ rights, your purposes for processing, retention, sharing, and how people can complain.

12. Cookies and similar technologies

We use cookies and similar technologies to run the website, remember user preferences, understand how the site is used, improve performance, and support security and functionality.

Some cookies may be strictly necessary for the website to function. Other cookies, such as analytics or personalisation cookies, may only be used where you have given consent, where consent is required by law.

You can manage your cookie choices through our cookie banner, where available, and through your browser settings. Blocking certain cookies may affect site functionality.

UK rules on cookies and similar technologies sit under PECR alongside data protection law, and non-essential cookies generally require consent.

13. Security

We use reasonable technical and organisational measures designed to protect personal data against unauthorised access, loss, misuse, alteration or disclosure. However, no method of transmission over the internet or method of storage is completely secure.

You are responsible for keeping your account credentials confidential and for notifying us promptly if you believe your account has been used without authorisation.

14. Third-party websites and services

ai.jobs.co.uk may contain links to third-party websites, job boards, recruiters, employers and application pages. We are not responsible for the content, availability, privacy practices or terms of those third parties.

When you leave ai.jobs.co.uk and visit a third-party site, that third party’s own terms and privacy policy will apply.

15. Children

ai.jobs.co.uk is intended for users aged 18 and over. We do not knowingly collect personal data from children under 18.

16. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated effective date. Where appropriate, we may also notify users by email or through the website.
